Leadership Positions

Section Leadership Structure

The governing body of the section shall be the executive council, and the officers of the section shall constitute the executive council per the Section Agreement. The officers include president, vice president, secretary, treasurer, director of professional development, director of outreach, and director of communications.

Officer Responsibilities

President (Apply)

The president shall:

  1. Represent the section before the public and preside at meetings of the section and its executive council.
  2. Appoint the chairs of all committees, with the approval of the executive council, except the chair of the nominating committee.
  3. Approve the appointment of all committee members, except the members of the nominating committee.
  4. Authorize the disbursement of section funds within the budget approved by the executive council.
  5. Be an authorized signatory on all section accounts;
  6. Coordinate activities and execute the business and policies of the section between meetings.
  7. Review and approve the year-end section financial report;
  8. (Optional duty) Arrange for a financial assessment of the section financial records as recommended by the governance documents.
  9. Provide oversight and guidance to the committee chairs as assigned.
  10. Perform other duties normally associated with the office of president or as may be assigned by the executive council or the governance documents
Vice President (Apply)

The vice president shall:

  1. Assume the duties of the president if the president is temporarily unable to serve;
  2. Provide oversight and guidance to the committee chairs as assigned; and
  3. Perform such other duties as may be assigned by the president, the executive council, or the governance documents.
  4. The Vice President will take a strong lead in identifying the Nominating Committee for the following year.
Secretary (Apply)

The secretary shall:

  1. Prepare and send the minutes of the Executive Council meetings to the following persons: President, Vice President, & Treasurer, and upload to Leadership Google Drive.
  2. Prepare section correspondence at the direction of the President.
  3. Update and disseminate the open actions and recently closed actions on the agenda.
  4. Create a list of officers and committee chairs with their phone numbers and addresses at the beginning of the Fiscal Year.  Send this list to the persons included in the minutes mailing list.  Record any changes to the document and redistribute as required.
  5. Able (or willing to learn how) to setup/host virtual meetings (Google Meet, Zoom, MS Teams, etc.).
Treasurer (Apply)

The primary responsibilities of the Office of Treasurer are to keep full and complete records of the Section’s finances and receive and manage all funds. The Treasurer must be a member in good standing of SWE.
The Treasurer shall:

  1. Participate as a voting member on the Space Coast Executive Council.
  2. Prepare quarterly checking account cash flow analyses with recommendations to the Finance Committee for transfers to or from the Reserve Fund.
  3. Prepare a proposed budget for the coming year for discussion at the August planning meeting with inputs from the outgoing President and Treasurer and the incoming President and committee chairs.
  4. Track expenses and income on the budget.
  5. Report Section’s financial status at meetings of the Executive Council and at membership meetings.
  6. Receive, record and deposit income.  Record in both the checkbook and the budget spreadsheet.
  7. Record and payout expenses in accordance with vouchers and approved budget.  Record in both the checkbook and the budget spreadsheet.
  8. Balance the checkbook per the monthly bank statement.
  9. Monitor outstanding checks. Follow up on any checks that are 3-4 months old to determine if the check has been lost or the person has not cashed it. Rewrite checks or strongly encourage the person to cash the check.
Director of Professional Development (Apply)

The Director of Professional Development shall:

  1. Create, organize, and manage professional development events.
  2. Provide oversight and guidance to the committee chairs as assigned.
  3. Perform such other duties as may be assigned by the president, the executive council, or the governance documents.
Director of Outreach (Apply)

The Director of Outreach shall:

  1. Create, organize, and manage outreach events.
  2. Provide oversight and guidance to the committee chairs as assigned.
  3. Perform such other duties as may be assigned by the president, the executive council, or the governance documents.
Director of Communications (Apply)

The Director of Communications shall:

  1. Manage publicity and electronic communication.
  2. Provide oversight and guidance to the committee chairs as assigned.
  3. Perform such other duties as may be assigned by the president, the executive council, or the governance documents.

Officer Requirements

Officers must plan a transition meeting with new incumbent officers before transferring roles. 

Officers with assigned committees are responsible for recruiting, training, and ensuring committee leaders are meeting expectations. Standing committee leaders are approved by the Executive Council. 

Officers must have a Google account to use for SWE Google Drive Access.

Officers MUST be a MEMBER of SWE in order to serve.

Nominating Committee
  • Led by the Nominating Committee Chair.
  • Requires at least one additional Nominating Committee Member.
  • Reports to the President.
  • Defined in Section Agreement.
Professional Development and Networking Committee
  • Led by the Director of Professional Development.
  • Includes the Membership Chair.
Outreach Committee
  • Led by the Director of Outreach.
  • Includes the following event leads:
    • WOW! Lead/Support
    • Robotics Lead/Support
    • IGEW Lead/Support
    • Science Fair Lead
Awards Committee
  • Led by the Awards Chair.
  • Includes the Engineering Awards Banquet Lead.
  • Reports to the Vice President.
Scholarship Committee
  • Led by the Scholarship Chair.
  • Reports to the Vice President.
Collegiate Section Counselors
  • Includes the following collegiate sections:
    • Florida Institute of Technology.
    • Embry Riddle Aeronautical University.
  • Reports to the President. 

    Any standing committee that requires section funds to meet their objectives each fiscal year will also report to the Treasurer.
